Admin & HR Specialist

Reporting to the HR Manager, the Administration & HR Specialist is responsible for support in Office Administration and HR duties in general office administration, including but not limited to:
1. Administrative Support (Front office duties and general office administration)
- Prompt maintenance and upkeep of local a office. Being the effective liaison with Contractor for office renovations/refurbishment needs whenever required
- Manage office to make sure the clean desk policy is implemented
- Manage legal company stamp
- Issuing and managing in/out going company letters
- Support General director to review document in formatting and martrix authorization before signing and stamp
- Render support to coordinate all staff events, dinner or activities (CSR, end year parties..)
- Attending guest / visitors in the company and distribution of mails
- Manage the payment for office expense, taxi, car rental, airfare, office leasing
- Updating of forms, telephone directory and other general office administration such as travel bookings for colleagues
- Procurement and monitoring of equipment and office supplies such as pantry items, stationary etc
- Ensure compilation of corporate hotel rates to Regional team
- Supervise office cleaner's tasks ensuring absolute cleanliness and tidiness of the office space
- Ensure office assets records are updated and purchase documents are filed diligently for audit purposes
- General petty cash management
- Prepare, issue and file office letters (If required)
- Visa arrangement for visitor (intake permit, letter for visa purpose)
- Annual health check for staffs in Ho Chi Minh office
- Other administrative duties and functions are assigned from time to time

2. HR Operations
- Responsible for Personnel Announcement: New Hire, Resignation & Change of Employment, Festive, Office Closure
- Supporting in Onboarding, Offboarding, confirmation for new hire
- Support Talent Attraction Team on new hire OTP and Job Description
- Responsible for employee life cycle: on-boarding, off-boarding, confirmation, maintain employee data in HR system completeness of hardcopy and softcopy p-files
- Preparation of necessary forms and letters as necessary required
- Work permit arrangement if required
- Annual health checking for employee
- Enroll/terminate Health care insurance
- Process HR service expense
- Any other duties and responsibilities as assigned by the management

Education
- Diploma or Degree in Business Administration, HR or any related fields

Experience
- Minimum 3 to 4 years’ experience in office administrative and HR supporting role
- Excellent knowledge of Microsoft Office
- Office management skills

Other skills
- Good communication and interpersonal skills
- Mature, trustworthy, high confidentiality and work under pressure.
- Good planning and analytical skills in managing daily office functions
- Excellent organising and planning skills
- Good command of spoken and written English
- Pleasant and proactive personality
