Position title: HR & Admin Assistant

Location: 217 Binh Thanh, Ward 15, Binh Thanh Dist, HCMC - Vietnam

Reports to: Finance, HR and Admin Manager

**About the job**:
An Admin Assistant’s mains responsibility is to handle assigned clerical duties, to strongly assist the support team with office management. In addition, the Admin Assistant will be proactive in term of secretarial support to HR & Admin Executive and line manager.
**Administration System/ Process/ Procedures**:

- Answer incoming phone call ;
- Conduct payment monthly, requested for office costs;
- Coordinates to organize company events;
- Work directly with suppliers such as Taxi, Stationary, Express, Ink
- Coordinate in office decoration/ renovation;
- Database management
- Manages and develops Admin. System; Process and Procedure to ensure the organization effectiveness & efficiency.
- Keeps maintain & manages the legal documents of company including other representative offices
- Administers and monitors administration budget, cost control
- Supports Research to organize Marketing Events, Seminarsin professional manner & building Cimigo brand name.
- Coordinates to organize company events: Year-end, Christmas, Women’s day, Noel
- Supporting HR in Welcome new staff, Employee’s birthday,
- Other duties as assigned by Managing Director.
**Office building**:

- Manages office building including properties, facilities and equipment remain in good condition & well-appearance.
- Manages the office and maintenance suppliers to ensure office building run smoothly and efficiently
- Plans the maintenance scheduling related to facilities of office.
- Manages office decoration/ renovation
**Managing Admin Department & Tasks Assignment**:

- Manages & develops administrative team including coaching Securities, Receptionist; Administrative Officer, Cleaners and Bar staff to perform in professional & accurate manner.

**Experience required**:
At least 1 to 2 years of administrative, office management or assistant experience.

**Competencies required**:

- University Graduate
- English Communication
- Good at MS Excel, Word and Powerpoint
- Careful, friendly, proactive and flexible in work handling, time management.

**Education**:

- Graduate from University
