**Job description**:
- **_Administration_**:
- Greet visitors and clients professionally.
- Monitor office supplies and place orders as needed, troubleshoot issues of office equipment as they arise.
- Schedule and coordinate appointments, meetings, company events, and travel arrangements for office staff.
- Communicate and coordinate with internal and external stakeholders such as Tokyo headquarter, the building management, local authorities, vendors, etc. as assigned.
- **_HR_**:
- Support in the recruiting process and arrange interviews.
- Prepare and submit Work permit and Visa for foreigners.
- Maintain and manage employee attendance records and other HR-related documents.
- **_Accounting_**:
- Manage accounting documents including contracts, invoices, claim forms.
- **_Others_**:
- Assist with posting information on the company’s marketing channels such as LinkedIn and website (occasionally).
- Translate written materials between Japanese, English and Vietnamese as needed.
**Job requirements**:
- Holders of bachelor’s degree in business administration, secretarial science, language studies or equivalent.
- 2~3 years of experience in a similar role.
- JLPT N2 (or equivalent certificates); proficiency in English preferred.
- Strong attention to detail with a can-do attitude and excellent interpersonal skills (customer orientation, teamwork, etc.).
- Ability to prioritize tasks and handle multiple responsibilities simultaneously to meet deadlines.
- Proficiency in Microsoft Office.
