- Attend to walk-in’s customer & vendors to orientate them accordingly;
- Answer phone calls to screen and direct calls accordingly;
- Keep good record of all faxes and direct accordingly;
- Coordinate, distribute and track daily in-coming and outgoing mails, courier services and related costing reports;
- Prepare meeting rooms, serve F&B to visitors when required;
- As planner and coordinator for all internal meeting rooms for all employees when they need including weekly management meetings and serve F&B when required;
- Update company phone telephone directory;
- Update employees’ daily leave and share to all employees;
- Take stock and purchase of office stationery when necessary;
- Prepare and manage office phones, stationery, registration of the permits (card) for parking and elevator for new hires (newcomer);
- Take stock and purchase of pantry utilities;
- Verification of vendors and purchases invoices within assigned scopes;
- Coordinate with building facilities management personnel on office maintenance matters (PICs of E-Town);
- Coordinate with office equipment vendor on office equipment maintenance and repairs;
- Arrangement and record of promotion/advertising gift/wreath for and from customers, internal employees;
- Support to relevant corporate events when required;
- Maintain and update relevant office asset inventory list when required;
- Backup to Administration Executive or HR & Administration Executive as required;
- Input Invoice information into Invoice Tracking List (Finance and Accounting tasks);
- Perform other ad-hoc tasks assigned by MD/Manager of HR & Administration.

Key Experience & Qualifications:

- Min Diploma in any discipline;
- Min 2 years of administration or receptionist experience.

Key Competencies & Skills:

- Good teamwork;
- Strong communication in Vietnamese and English - verbal, written and interpersonal skills;
- Ability to interact positively and professionally at all levels;
- Strong organizational and time management skills with the ability to multi-task.

Key Performance Indicators / Measures:

- Completion of administrative tasks timely, accurately and efficiently;
- Cost savings achieved due to initiatives;
- No financial losses due to administrative lateness or errors, work within lead time for various administrative tasks.
