**Job Description**:
- Prepare/manage regular office expenses (rental car, electricity, office leasing, parking, supermarket, drinking water, office supplies, stationery, telephone, etc.) and request payments to Finance Dept timely and properly.
- Receive and send letters, manage bill to tracking letters whenever required
- Annual health checkup for staffs in Ho Chi Minh office
- Support in HR, 3H, HSE, CSR activities: monthly birthdays, Woman Days, company trips, year-end party, etc
- Searching/Dealing with vendors (prices, contracts, invoices ) and updating vendor list
- Arrange bookings of hotels, air-tickets, transportation for travel when needed. Ensure compilation of corporate hotel rates to employees and guests
- Record attendance guest / visitors in the company
- Responsible for administrative Announcements from building management, events, etc, to HCM office colleagues
- Keep reception area, meeting room, office, storeroom, pantry clean and tidy. Manage office cleaner to make sure she follows cleaning guidelines. General office upkeep, manage office
- Visa arrangement for visitor (intake permit, letter for visa purpose) (If required)
- Make administrative monthly report
- Other administrative duties and functions are assigned from HR manager
Special Skills Required
- Negotiate, presentation
- Collaboration, Problem solving
- Excellent written and verbal English communication skills.
Educational Required
Diploma or Degree in Business Administration, HR or any related fields
Experience required:
- Outstanding communication and interpersonal abilities
- Excellent organizational, planning skills
- Familiarity with office management procedures
- Excellent knowledge of MS Office
- sPleasant and proactive personality
