- ACTIVITIES

1. Responsible for flawless execution of payment process
- Checking payment request voucher: ensure properly supporting documents to meet AP procedure, Purchasing manual, HR guidelines and other related procedures. Ensure payment request must be approved by authorized DOA.
- Checking payment documents to ensure Tax & regulations compliance.
- Verifying invoices to ensure company name, amount on invoices match with MIGO posting and Purchase order.

2. Responsible for managing, operating and controlling all payment process.
- Receive payment request vouchers from End-users
- Return unsatisfactory payment request to the End-user and guide them for completion / correction
- Scan and submit documents (APV, DES, invoices ) to SSC for SAP input via Ticketing tool (if no one supports on this task)
- Working closely with SSC to ensure invoices posting in SAP correctly
- Monitor payment due date and propose payment on time
- Archive documents after paid and maintain a properly master list
- Provide suitable vendor code for account receivable team to record the refund amount from vendor, employee or bank
- Follow up vendor open item to remind the End-user submit documents for settlement advance on time
- Ensure timely close of account payable at month-end
- Prepare Journal voucher for adjustment if any

3. Others:

- Well understanding SAP system for processing payment.
- Proactively discuss with other functions, Tax authority for flawless execution of all procedures and related guidelines
- Co-ordinate and support external/ internal auditors on annual Financial Statement reports and other special reviews to complete the audits timely.
- CONTEXT AND ENVIRONMENT

1. Many workload must be solved daily. However, good quality is made sure to avoid defective or mistake in the process

2. Must interact and liaise closely with other share service group and operational business personnel to improve payment process and support for the business.
- ACCOUNTABILITIES

1. Ensuring payment on time and correctly to vendors including tax authorities and oversea vendors

2. Preparation of AP reconciliation reports correctly and timely.

3. Ensuring payment documents were stored carefully.
