**Việt Nam office in Ho Chi Minh city to a high standard**:
- Reviewing the current state of our office, proposing improvements that can help us to have a clean and well-organized office space.
- Arrange and allocate seating space and desks to ensure sufficient working space for all employees
- Managing stock of office supplies
- Facilities management: arranging meeting spaces and helping to work with Division Admins and Executive Assistants to organize company events like town halls, guest visits (in terms of facilities set up), maintain air-conditioning and toilet facilities by working closely with our landlord facilities team
- Vendor and stakeholder management: Work with our office vendors such as design and renovation company, as well as other key stakeholders to ensure all aspects of office maintenance are taken into account (e.g. work with our Health and Safety team to maintain health and safety standards in our office, work with renovation company to renovate office facilities, etc)
**Personnel management**:
***managing tea ladies, receptionist and security staff to ensure high quality service provided within our office
**Coordinating and execution of new office move project**: own the end-to-end project management of coordinating our new office move, including communication and process design for moving to new office, administrative checks, coordinating staff to store their belongings, working with moving company to arrange storage of office equipment, plan timeline for move, work with logistics providers to ensure all equipment reaches new office in the right conditions.
**Requirements**:
- Strong proficiency in English
- At least 5+ years’ experience in office management, facilities management or similar capacity. Experience of coordinating an office move or new office project is a plus
- Ability to manage a team of 3+ staff
- Strong organization skills
- Good ability to manage stakeholders and request compliance to guidelines and practices set out
- Project management skills and ability to prioritize and organize tasks, working with multiple stakeholders to deliver against a tight timeline
