Title: Receptionist & People Operations
Reports to: HRBP, SEA Supply Chain
Location: Vietnam
Key Responsibilities:
HR Admin:
- Create and maintain a paperless filing system
- Travel arrangements, logistics support and itineraries set up for employees and counterparts on the ground.
- Organization of logistic arrangement, e.g. facilities arrangement, ensure proper set up.
- Prepare accounting and expenses reports, submit for Regional Approval and keep track the status.
- Prepare correspondence, memorandum and confidential documents.
- Establish relationships with Regional Operation and CIL counterparts to ensure calendar alignment, proactively identify & troubleshoot schedule conflicts or other issues
- Support to handle visa and work permits through agencies
Financial Support:
- Monitoring and supporting Finance team on filling invoices/ claim reports from employees
- Supporting and cordinating Tax team for tax filling and tax audits
- Managing the financial contracts/ tax invoices
HR Project Management:
- Partner with HR team in organizing company functions/events logistics
- Ad Hoc projects assignment by Line Manager
**Requirements**:
- Computer proficiency in Microsoft Outlook, Excel, Word, and Power Point.
- Highly organized with strong time management, task prioritization & follow-up skills
- Strong attention to detail & accuracy.
- Professional & mature demeanor with excellent written & verbal communication skills
- Ability to maintain high level of business confidentiality
- Bachelor’s Degree
- 3+ years of previous experience
- Strong English language fluency
