  1. ROLE SUMMARY The Office Manager is a pivotal position responsible for leading all Human Resources (HR), Administrative, and Office Operations activities in Vietnam, ensuring smooth, professional operations and strict adherence to the directives of the Board of Directors (BOD).

  2. KEY RESPONSIBILITIES Human Resources Organizational Culture:

Records Contracts: Primarily responsible for drafting, managing, and maintaining employment contracts and personnel records in compliance with Vietnamese Labor Law.

Benefits Administration: Manage payroll, employee benefits, and Social Insurance administration.

Recruitment Development: Manage the entire recruitment process (sourcing, posting, CV screening, scheduling interviews) and oversee the employee performance evaluation system.

Internal Governance Direction: Establish, implement, and monitor adherence to internal regulations and work discipline, ensuring all activities align with the vision and goals set by the Board of Directors (BOD). Administration Office Operations:

Logistics Management: Coordinate and manage daily office operations, including procuring supplies/ stationery, managing company assets, and ensuring all facilities and equipment are consistently maintained.

Legal Compliance Procedures: Serve as the primary liaison with legal consulting firms to ensure compliance, and oversee the processing of administrative procedures and permits related to government agencies (Labor Department, etc.).

Documentation Archiving: Draft, issue, and archive official company-level administrative documents, announcements, and decisions.

Event Support: Assist in organizing internal activities or supporting Marketing/Event-related tasks.

  1. QUALIFICATIONS

Experience: Minimum 3 years of proven experience in a similar multi-functional role such as Office Manager, Admin Manager, or a comprehensive Admin-HR-Internal Accounting capacity.

Knowledge: Deep understanding and practical experience in Vietnamese Labor Law, Social Insurance (BHXH), Tax regulations, and cost/budget management principles.

Language: Fluent English (Business-level communication), with the ability to work and communicate directly with foreign superiors and partners.

Skills : Proficiency in office management tools (Excel, Word, Google Workspace, Notion).

Attributes: High responsibility, meticulous attention to detail, strong organizational and problem-solving skills, and the capacity to multitask effectively in a fast-paced environment.

Preference: Male candidates with experience working in a Startup/ Small-scale company environment, where proactive ownership across multiple domains is essential.
