Job Description:

I. Mobility Management:

  • Responsible for coordinating and facilitating the entire flow of inbound/outbound relocations for expats and local employees.
  • Execute global and domestic mobility processes and policies, ensure Mobility practices continue to align with Company's goals & compliance points.
  • Provide direct outreach to Expats, Home Country's mobility partners & Vietnam agencies to support for international transfer procedures.
  • Oversee day-to-day immigration processes such as visa, work permit and temporary residence.
  • Ensures compliance of global mobility practices in line with legislative and regulatory requirements, standards, and other known relevant policies and guidelines; works cross-functionally with corporate tax.
  • Provides excellent customer experience to all inbound/outbound Expats with whole onboarding/offboarding procedures, included but not limited to housing, shipment, children's school, etc.).

II. General Administration:

  • Support the front office - directing all visitors, including vendors, clients, candidates, and customers appropriately.
  • Manage the routine office administrative duties such as mailing, office cleaning, office maintenance, office stationaries, name card ordering, company car management, company Grab account management, monthly travel management, etc.
  • Handle engagement activities such as long year service award, company party, holiday events, etc.)
  • Handle HR/GA vendor management and monthly payments relating to General Administration (such as electrics, water, phone, stationery, flights, hotels, cleaning services, office leasing, expats' housing, school fees, etc.).
  • Handle annual GA budget setting, monthly expenses monitoring and cost optimization to ensure the used expenses are in line with the budget.
  • Support administration & logistics for some Learning & Development projects and HR activities when required

III. Labour Management:

  • Be the main PIC to manage & monitor GA related policies & activities.
  • Support to take care of Employee Benefits and engagement activities for both expats and local employees.

IV. Other duties as instructed by the C&B Manager and HR Manager.

Job Requirements:

  • Bachelor's degree or above with major in HR management, or related fields.
  • Have strong background & experience in General Administration/HR and Mobility Management. With minimum 4 years working experience in a similar role.
  • Proficient in Microsoft Office
  • Ability to be neutral and confidential and deal with sensitive information. A high level of confidentiality is required
  • Strong knowledge of general HR/GA practices, policies, and guidelines
  • Customer-service driven
  • Can independently respond to internal & external stakeholders inquires
  • Fast learner, exceptionally organized, and will have an acute attention to detail and accuracy
  • Able to multi-task and work independently in a fast-paced environment.
  • Proficient in English
