As our Admin & HR Executive, you'll be the backbone of our fast-moving agency – keeping people supported, the office running smoothly, and the energy high. You'll champion great employee experiences, streamline daily operations, and help us stay sharp, agile, and ready to challenge the norm. RESPONSIBILITIES

Office Management & Operations

  • Maintain a professional, functional, and welcoming office environment, overseeing supplies, pantry, meeting rooms, and necessary upgrades.
  • Act as the main point of contact for external partners, managing mail, communications, and vendor relationships.
  • Coordinate travel, logistics, and administrative support for the BOD and team.
  • Monitor office expenses and implement policies and procedures to improve efficiency.
  • Prepare, organize, and manage documents, reports, presentations, filing systems, and databases.
  • Provide timely reminders and support to managers on key tasks and deadlines.

HR & Employee Engagement Support

  • Support the full employee lifecycle: recruitment coordination, onboarding, orientation, offboarding, and record-keeping.
  • Coordinate employee engagement initiatives, including events, celebrations, and team activities.
  • Liaise with service providers for Work Permits, TRCs, and healthcare packages.
  • Supervise office support staff (cleaner, driver), including performance management and annual appraisals.

IT & Equipment Support:

  • Maintain, track, and prepare IT devices and assets, ensuring readiness and proper sanitization for new users.
  • Assist staff with IT setups, basic troubleshooting, and coordinate with suppliers or IT partners for technical support.

General & Ad-Hoc Duties

  • support the smooth operation of the company.

QUALIFICATIONS AND SKILLS

  • Bachelor's degree in Business Administration, Human Resources, or related fields.
  • Minimum 1-2 years working experience in a similar position.
  • Proficient in Microsoft Office, project management and communication tools.
  • Able to multi-task and work independently in a fast-paced environment.
  • Proficient in English, especially in writing and speaking.
  • Ability to be neutral and confidential and deal with sensitive information.
  • Strong knowledge of general administration and office practices, policies, and guidelines.
  • Highly customer-service driven and oriented.
  • Can independently and professionally address both internal & external stakeholders' inquires.
  • Positive outlook and supportive working attitude.
