2. Position Objective
Ensure that the operations of the
Board of Directors (BOD)
and
General Meeting of Shareholders (GMS)
are conducted effectively through proper governance, document management, and resolution tracking.
At the same time, support the
CEO
in operational coordination, information synthesis, and execution supervision to enhance decision-making quality and optimize management efficiency.
3. Key Responsibilities
Support BOD and GMS Operations
- Manage schedules, organize and coordinate
BOD and GMS meetings
; prepare materials, record minutes, and track post-meeting action items. - Monitor the
implementation of resolutions and decisions
of the BOD and GMS. - Maintain and manage the
document system
of the BOD/GMS, ensuring full updates of financial statements, management reports, business plans, and shareholder/investor materials.
Investor Relations (IR)
- Provide information, financial reports, and business updates to shareholders and investors.
- Maintain
transparency and effective communication
with shareholders. - Coordinate with investors in
investment and capital-raising activities
of FiinGroup.
Support to the CEO
- Coordinate and assist the CEO in
business and financial planning
. - Support the CEO in
daily operations
and
provide information for decision-making
. - Monitor and supervise the execution of CEO directives: track progress, flag risks, and propose solutions.
- Manage and follow up on
special projects/tasks
, ensuring quality and timelines. - Serve as the focal point to support the CEO in
company-wide digital transformation initiatives
, including defining goals, scope, roadmap, and priorities. - Monitor the implementation of digital initiatives (as applicable), such as
approval workflow automation, executive dashboards, CRM/ERP/HRM systems
. - Support
change management
: internal communications, adoption guidance, user feedback collection, and optimization proposals. - Prepare
meeting schedules, documents, presentations, and speeches
for internal and external meetings. - Liaise with internal departments and external partners to
optimize the CEO's operations
. - Act as the
primary contact point
for document processing and approvals requiring the CEO's signature.
Perform other duties as assigned by the CEO.
4. Job Requirements
- Bachelor's degree in
Economics, Business Administration, Finance, or related fields
. - Proficiency in English (equivalent to
IELTS 6.5 or above
). - At least
5 years of experience
as an
Executive Assistant / Board Secretary
or similar role in
finance, banking, or corporate environments
; experienced in organizing high-level meetings, preparing minutes, tracking resolutions/action items; understanding of
corporate governance
is a strong plus. - Knowledge of
financial management, corporate operations, and office administration
. - Familiarity with
digital transformation, process digitization, project management/PMO
, or experience implementing systems (CRM/ERP/BI/DWH, workflow, e-sign, DMS…). - Data-driven mindset:
capable of working with KPI dashboards and management reports.
