This role combines visitor management, mail handling, administrative support, and meeting room coordination.Key ResponsibilitiesVisitor Reception and ManagementProvide friendly and professional welcome to all client visitors and guestsAssist visitors in determining the purpose of their visit and direct accordinglyNotify host personnel or alternative contacts of visitor arrivals promptlyCollect necessary information and open visitor accounts in the WSB systemGuide visitors to appropriate waiting areas and ensure their comfortMail and Package ManagementReceive, sort, and record all incoming mail and documents by departmentProcess outgoing mail and packages for both domestic and international deliverySort outgoing correspondence by department and maintain accurate recordsMonitor and report on mailing status upon request from staff membersCoordinate delivery of mail and packages from vendorsAdministrative Support and Cost ManagementReview and verify cost center information for monthly mailing files from VNPT/DHLMaintain comprehensive logbooks for all mailing activities and recordsAllocate monthly mailing costs for VNPT services across Ho Chi Minh City and Da Nang branchesProcess facility-related requests from staff membersEnsure reception area maintains professional appearance and is well-stocked with amenitiesMeeting Room and Event CoordinationSchedule and book meeting rooms for staff upon requestCoordinate tea and refreshment services for meeting attendees and staff guestsConduct pre-meeting room inspections to ensure proper setup and readinessMaintain meeting room booking systems and resolve scheduling conflictsRequired QualificationsPrevious receptionist or administrative support experience preferredStrong communication and interpersonal skillsProficiency in basic office software and record-keeping systemsProfessional appearance and demeanorAbility to multitask and prioritize responsibilities effectivelyAttention to detail and accuracy in record-keepingCustomer service orientationWorking ConditionsFull-time position with standard business hoursPrimary work location at reception desk and administrative areasRegular interaction with visitors, staff, and vendorsOccasional coordination with external service providersThis position plays a vital role in maintaining professional standards and supporting daily business operations through excellent visitor service and efficient administrative support.Location: On-site –Ho Chi Minh City, VietnamIf this job description resonates with you, we encourage you to apply even if you don't meet all of the requirements.  We're interested in getting to know you and what you bring to the tableJLL Privacy NoticeJones Lang LaSalle (JLL), together with its subsidiaries and affiliates, is a leading global provider of real estate and investment management services.
