**HR ASSISTANT (ASSOCIATE)**
**Department**:Human Resources
**Report to**:Human Resources Director
**Key Responsibilities**:
The HR Assistant is responsible for supporting daily operations in training & development and compensation & benefits. This includes coordinating training programs (especially licensing and internship-related), assisting with payroll, insurance, PIT procedures, and maintaining HR records. The role also helps ensure compliance with internal policies and supports key HR initiatives as assigned.
- ** Training & Development (50% of workload)**
- Support the identification of training needs and contribute to developing training programs aligned with the Company’s strategic objectives.
- Assist in designing training materials and organizing programs on soft skills, technical skills, and regulatory compliance.
- Act as the main coordinator for training programs related to the **Securities Practitioner License and CFA certification.**:
- Provide guidance and administrative support to employees throughout the licensing process and ensure ongoing compliance with SSC (State Securities Commission) regulations.
- Coordinate and facilitate internship programs, including onboarding, training, and supporting student interns during their placement at the Company.
- Maintain training records and regularly evaluate training effectiveness through feedback surveys and reports.
- Ensure compliance with the company’s tuition reimbursement policy and handle related procedures for resigning employees.
- Prepare and submit periodic reports to the SSC regarding the status of employees’ professional licenses (new issuance, renewal, suspension, etc.).
**2.**Compensation and benefit (50% of workload)**
- Prepare labor contract signing procedures for employees who pass their probation and inform those who fail about employment termination.
- Notify the payroll team of any updates regarding employees’ salaries, benefits, or position changes.
- Process monthly/quarterly allowance payments for interns, Independent Directors, and the Board of Supervisors.
- Organize annual employee health checks.
- Track and update changes in compulsory insurance (SI, HI, UI) for employees.
- Monitor and manage monthly timekeeping records.
- Submit required documents to the Social Insurance Office and Labor Department (if applicable).
- Ensure timely submission of Personal Income Tax documents to tax authorities.
- Update and maintain HR information and employee records promptly and accurately.
- Support the HR Department Head in calculating monthly payroll, PIT, allowances, and bonuses in compliance with company policies.
- Prepare and submit statutory reports to government agencies as required.
- Assist in developing and implementing C&B policies and procedures.
- Collect and prepare data for internal/external salary surveys.
- Maintain and manage staff database, labor contracts, and overtime records.
- Support the annual salary review, performance evaluation, and promotion cycles.
- Participate in or support HR projects and initiatives as assigned by HRM.
**3. Others**
- Perform other HR-related duties as assigned by the Human Resources Director.
**Job Requirements**:
- Bachelor degree is required.
- Experience in supporting Managers across various departments
- Good command of English (listening, speaking, reading, and writing)
- Effective verbal and written communication skills.
- ** Strong sense of responsibility, accuracy, and attention to detail.**:
- High level of discretion and careful handling of confidential information.
- Teamwork, adaptability, and professional presence.
- Strong interpersonal skills and ability to build internal relationships.
- Experience in using HRM software is an advantage.
