Office Operations Specialist

- Objectives
- The Senior Office Operations Specialist is responsible for overseeing office management operations activities to ensure the smooth running of the daily operations in the workplace that enables our employees to do their best work, while also giving them an office environment that represents Amanotes
- What you will do
- Build the annual budget planning for office operations activities and do forecasts every quarterly. Monitor & control the budget to ensure service quality & optimization
- Manage the day-to-day running of the office and workplace services, help to maintain health and safety within the office
- Establish strong relationships and communication within all levels of the organization to understand and meet business and office operations-related needs
- Manage office services vendors/suppliers from sourcing to service delivery to ensure the quality with optimal budget
- Contribute to the improvement of existing processes, evaluating workflows to identify areas of improvement where possible
- Liaison with building management for operations and maintenance
- Support employees with traveling operations (air ticket, accommodation, visa )
- Manage stocks of office supplies and place orders when necessary
- Lead logistics with moves, adds, and changes at the working space
- Assist with onboarding and welcoming new employees into their new workplace
- Assist with the coordination and operations of employee engagements events
- Some ad-hoc operations tasks as required
- Qualifications

**Working experience**:

- Minimum 5 years experience as
- **Office Operations/Office Management/ Workplace management** roles
- Strong in building office management workflow, processes
- Strong in managing office operations vendors/suppliers
- Experience in office operations cost tracking & management's a plus if you have experience in the technology industry, event organization, and love MUSIC.

- Be a self-starter with a strong can-do attitude
- Be open & transparent in communication
- Excellent time management & organizing skills
- Willing to learn & seek challenges to grow with open mindset
- Demonstrable problem-solving skills, with the ability to manage the current needs of the workplace and ad-hoc requests upon business needs
- Good collaboration both within the team and across functions
- Good verbal and written communication skills in English
- Be able to build good relationships with stakeholders
- Be able to initiate and promote positive workplace working culture
- Be able to leverage automation in daily operations
