Job Description Summary
This role will be based in Quảng Ngãi Province, Dung Quất. You will act as Plant Manager Assistant and Office Administrator.
Job Description
Essential Responsibilities:
- Executive Support:
- Act as the primary point of contact for the Plant Manager (PM).
- Manage the PM's calendar, schedule meetings, and coordinate with internal and external stakeholders.
- Prepare and edit correspondence, reports, and other documents as required.
- Administrative Support:
- Collaborate with Admin team to handle a wide range of administrative tasks to ensure the efficient operation of the office.
- Manage office supplies and ensure the office environment is conducive to productivity.
- Event Organization:
- Assist in the planning and execution of factory events, including meetings, conferences, and team-building activities.
- Coordinate with vendors, manage event budgets, and ensure all logistical details are handled.
- Internal Communications:
- Develop and distribute internal communications to keep staff informed about company news, events, and initiatives.
- Manage communication channels to ensure timely and effective information flow within the factory.
- HR Support:
- Assist the HR department with various paperwork, including employee onboarding, maintaining personnel files, and processing documentation.
- Support HR initiatives and projects as needed.
- Training logistics
- Other tasks are assigned by PM and HR Manager.
Requirements
- Bachelor's degree
- Proven experience as an Executive Assistant or in a similar administrative role.
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office, and other media tools such as Canva, Capcut, Smartsheet, BuildSmart, ….
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience in a manufacturing or industrial environment.
- Event planning and coordination experience.
- Knowledge of Administrative processes and paperwork.
