ROLE DESCRIPTION

This is a full-time on-site role at cirCO in the Ho Chi Minh City.

Support SOM in administrative work - synthesis - monitoring operational progress at Coworking sites; ensure reports and information flow between departments are accurate, timely and complete.

A. Support coordination and monitoring of operations

· Synthesize periodic operational reports from sites (occupancy rate, incidents, equipment status, customer feedback).

· Monitor the implementation of instructions, plans or tasks assigned by SOM.

· Support the preparation of documents, meeting minutes, reports and presentation of operational data.

· Support the management and update of asset records, equipment, service contracts at sites.

B. Support administration and internal communication

· Manage SOM's work schedule, meetings and business trips.

· Coordinate between relevant departments (Sales, CS, Engineering, Logistics; cleaning; security; accounting) to ensure consistent information.

· Draft official dispatches, internal announcements, forms and basic operating procedures.

C. Project Support and Operational Improvement

· Monitor the progress of site expansion, renovation or upgrade projects.

· Record customer feedback and propose improvements to operational processes and services.

· Support SOM in compiling data for strategic reports or monthly/quarterly plans.

JOB REQUIREMENTS:


• College or University degree, preferably in Business Administration, Industrial Management, Economics, Office, or equivalent.


• At least 1-2 years of experience as an assistant, coordinator, or operator. Priority is given to candidates who have worked at Coworking / Serviced Office / Building / F&B / Retail chain.


• Proficient in Excel, Google Sheets, PowerPoint; know how to use work management tools (Trello, Notion, Asana is an advantage).


• Good organizational, synthesis and work progress tracking skills.


• Flexible communication, teamwork and situation handling.


• Know how to communicate and read English.


• Honest, careful, highly responsible.


• Dynamic, proactive in learning and supporting.


• Work well in high-pressure and multi-tasking environments.
