We are looking for a passionate and driven
Order Fulfillment & PD Coordinator

to
track all active Purchase Orders (POs) from confirmation until shipment. This role works across Customer Success, Merchandising, Product Development (PD), and Quality Control (QC) teams. The coordinator's primary goal is to ensure all Standard Operating Procedures (SOPs) are followed, deadlines are met, and potential blockages or incidents are identified early. The position ensures that all critical information is documented and escalated to leadership promptly with factual and organized data backing.

KEY RESPONSIBILITY:

  1. Monitor the progress of all Purchase Orders (POs) across departments using the designated tracking systems (e.g., Kaiten, CRM, Google Sheets).
  2. Serve as the central accountability partner for the execution of strategic initiatives and new PO processes.
  3. Follow up on task completion and deadline adherence across Customer Success, Merchandising, PD, and QC teams.
  4. Audit Kaiten and CRM daily to verify data completeness, accuracy, and adherence to established data flow SOPs.
  5. Identify, document, and track all process deviations, blockers, or critical incidents.
  6. Escalate delays or issues to Senior Management when team members fail to deliver or an incident occurs.
  7. Ensure all necessary communications and decisions related to POs are properly documented and accessible.
  8. Proactively identify bottlenecks in the fulfillment process and remind team members of pending deadlines.
  9. Support the optimization of Order Fulfillment administrative processes for efficiency.

QUALIFICATIONS:

Hard Skills:

  1. Proficiency in Project Management Tools: Kaiten, CRM systems, Google Sheets, and other task tracking systems.
  2. Strong Written and Verbal Communication Skills: Required for clear, fact-based escalation and cross-team coordination.
  3. Document Preparation: Ability to prepare reports, presentations, and structured escalation documents.
  4. Meeting Management: Meeting facilitation, note-taking, and action item tracking abilities.

Soft Skills:

  1. Proactivity: Anticipate needs and address issues before they become major problems.
  2. Attention to Detail: Ensure accuracy in all documentation, status tracking, and communication.
  3. Initiative/Ownership: Take ownership of tasks and drive completion without constant supervision.
  4. Flexibility: Adapt quickly to changing priorities and diverse responsibilities.
  5. Logical and Critical Thinking: Ability to structure information and back up escalations with data.
  6. Collaboration: Work effectively with all internal teams (CS, Merch, PD, QC).
