The Role
The Communication and Events Specialist is responsible for managing functional events organised by Schools and Divisions as well as externally hosted events by external stakeholders to ensure of the success of event delivery, the consistency in event standards and quality. This role also focuses on enhancing university event information through many engagement and communication channels such as social media platforms, sponsorship, and promotion activities.
Key Accountabilities
Event Management
- Manage university functional events by collaborating effectively with Divisions, Schools, Departments to identify their event requests, present recommendations, and solutions applicable, facilitating the organising of their specific events.
- Overseeing the stages of logistics planning, expense tracking, resource allocation and event management among related working groups to ensure of the consistency in event standards and quality.
- Build and maintain strong relationships with stakeholders through communication and engagement efficiency and productivity. Identify and where possible, understand stakeholder issues, interests, aspirations, and concerns to better define what matters most.
- Facilitate the delivery of high-level externally hosted events owned by external stakeholders i.e. Consulates, Chambers by establishing and managing efficient communication lines among cross-function members of projects.
- Lead debriefs meetings and distribute post-event reports to relevant stakeholders for quality assurance and improvement
Event Communication
- Plan, develop and implement event promotion campaigns of university events to increase the participation and engagement of staff, students, alumni and external guests (where appropriate) through effective use of social platforms and on-site activities.
- Tailor and monitor the implementation of communication plans appropriate to Hanoi and Danang audience, contexts, and best-practice.
- Work in partnership with other teams (Communications, Press Office, Schools, Student Life, student groups) generating contents to influence, improve and enhance the event promotion across channels.
- Create and develop the content of RMIT Events Facebook page. Monitor posts and respond appropriately to comments as well as identify issues that require escalation.
- Manage content creation, maintenance, and strategy for event information on the Intranet through developing a consistent look and feel for all pages, writing and updating the contents displayed to ensure information is accurate, and user-friendly.
- Develop event photo archiving strategy through effective filing and distributing systems
Sponsorship Management
- Design, implement, and manage sponsorship plans for relevant events focused on growing sponsorships across industries and sectors.
- Produce sponsorship proposals in line with the university’s collaboration policy; source and meet potential corporate partners, present sponsorship packages, and negotiate benefits.
- Manage the delivery of the sponsor’s contracts so that the sponsorship fulfilment is executed in accordance with the contract ensuring that all benefits are received.
- Assist in building and maintaining strong relationships with potential sponsors and supporters through organising client appreciation activities and new business meetings
Advisory and Training
- Assist Events Manager in facilitating formal training sessions to internal and external clients where appropriate
Skills and Experience
- Bachelor’s degree in a relevant discipline with a minimum of 3 years working in an education, marketing or service-based industry
- Demonstrated experience in organising and managing different styles of events
