**Key Responsibilities**:
**1. Travel & Visa Management**

**Goal**: Optimize all travel arrangements and manage visa processes to ensure timely and cost-effective transportation for all personnel.
- Book and manage all accommodation & flight arrangements for Head Office staff and musicians.
- Collect and organize all necessary documents from musicians for travel and visa purposes.
- Optimize flight costs and manage airline loyalty programs to maximize benefits.

**2. On-Site & Artist Support**

**Goal**: Provide the best support and customer service to musicians and hotel partners, ensuring a smooth on-site experience.
- Coordinate with hotels for all hotel rooms and airport transfer arrangements.
- Communicate closely with hotels throughout the gig to ensure the highest level of customer service.
- Organize and manage rehearsal transitions in Vietnam, including scheduling and logistics.
- Providing seamless support to musicians and ensuring their needs are met.
- Conduct surveys to gather musician feedback on their transition period.
- Pick up and welcome musicians at Tan Son Nhat Airport.
- Plan and organize Head Office and band bonding activities.

**3. Reporting & Operational Oversight**

**Goal**: Maintain clear oversight of all logístical operations, ensuring efficiency and timely completion of all tasks.
- Prepare weekly and monthly reports on key logístical activities and performance.
- Ensure all tasks are completed on time and in a cost-effective manner.
- Troubleshoot and solve operations issues related to hotel and musicians
- Handle other administrative and logístical tasks as assigned.
- Report directly to the Operation Manager.

**Qualifications**:

- Proven experience in administrative, operations, logistics coordination, or a related field.
- Excellent communication and organizational skills.
- Good command of English in both writing and speaking is a MUST
- Meticulous attention to detail
- Proactive approach to problem-solving
- Ability to manage multiple projects, prioritize tasks, and meet deadlines under pressure.
- Capacity to handle last-minute changes while maintaining a high standard of work.
- Experience in the music or entertainment industry is a plus.
