1. In charge of matters regarding Secondee/ Expats
a. Obtain licenses, permission (Work permit, Visa.)
b. Arrange apartment, cargo, transportation and related issue
c. Other related matters as assigned
2. Manage matters related to legal, regulations and compliance administration
a. Administer and manage matter related to Internal Control Regulation (ICR) & ISO Standard.
b. Matters regarding compliance consultations and advisories
c. In charge of corporation for internal and third-party audit matters, survey, report to Tokyo Headquarter
d. Management of contracts and agreements (including confidential documents)
e. Corporate and assist issue of enterprise and commercial registrations
f. Store and manage official company licenses, corporate and director seals
g. Arrange the Board of Management Meeting and other important meetings
h. In charges of minutes and other relevant documents
i. Handle affairs regarding company lawsuits and other legal matters
j. Other matters pertaining to legal administration and special executive orders
3. In charge of matters pertaining to budget, expenses and payment
a. Administer and make report of company utility bills and other costs
b. Collect, check legal invoice with supporting docs for all expenses
c. Make the monthly budget report of Admin division.
d. Control the usage of company service and costs
4. Procurement issue
a. In charge of company procurement issue.
b. Manage & control the company’s assets & equipment: periodical physical check, inventory, coding, file recording management & disposals
c. Other related tasks
5. Admin and General Affairs (GA) tasks
a. Keep track and proceed all post of office lease and contract matter including manage leased property and relocation (including construction and fit out issue)
b. General affairs regarding company events (Anniversary, X-mas & Year-end party, Team building)
c. Affairs regarding Tet gifts
d. Affairs regarding biz trip for Expats and staffs
e. Affairs regarding disaster & disease prevention & protection
f. Relations with relevant government agencies
g. Provide the office supplies & beverage stuffs
h. Receive, send, collect and distribute correspondence & office supplies
i. Supervise and control the security and hygiene issues of company
j. Arrange the meeting room schedule
k. Other general affairs
6. Assistant to General Director:
a. Support Operation tasks such as: prepare/ check/ translate reports/ call scripts/ related documents as required
b. Cooperate with other Departments to handle arising Operation issues
c. Other tasks as assigned by GD
