- Facility management and space planning: Overseeing the maintenance of office equipment, furniture, and supplies, managing the cleaning services, and coordinating repairs. Managing access to the office and sensitive areas within the office, including access control, video surveillance, and alarms.
- Budgeting and financial management: Managing budgets, invoices, and expenses and ensuring that the office administration function operates within the company's financial parameters.
- HR support: Assisting in the onboarding, offboarding process, and managing employee

- Event coordination and employee engagement: Coordinating meetings, conferences, and other company events. Collaborating with other departments to develop effective communication and information-sharing protocols.
- Food supply: Managing the procurement and distribution of daily fresh fruit, snacks, lunch, and beverages for employees, ensuring that there is a variety of options that cater to different dietary requirements and costs within budgetary constraints, as well as identifying cost-saving opportunities.
- IT support: Day-to-day providing assistance for hardware, software, and other equipment with IT Helpdesk.

Purchasing and contractor management: Managing relationships, negotiation, and execution of contracts with vendors and contractors, ensuring that they meet service level agreements, providing feedback to improve performance, and ensuring that the company is getting the best value for its investments.
- Travel management: Managing travel arrangements for employees, including the booking of flights, hotels, and ground transportation, and ensuring that travel policies and procedures are followed and the visa and immigration process for employees traveling to other countries.
- Compliance and risk management: Ensuring that the office administration function is compliant with legal and regulatory requirements, such as health and safety regulations and data privacy laws, and that risk management strategies are in place.
- Staff management and leadership: Overseeing office administration staff, managing workloads and responsibilities, and ensuring the office administration function operates smoothly, and efficiently, and ensuring that the office administration team is aligned with the company's goals and objectives.
- Change management: Leading change management initiatives, including process improvements and technology implementation, to enhance the office administration function's ability to support the organization.
- Time management: Prioritizing tasks and ensuring deadlines are met.
- Performance management: Ensuring that the office administration function is meeting performance goals and that processes are in place to measure performance and report results to senior management.

**Yêu cầu công việc**:

- A Bachelor's or Master's degree in Business Administration, Management, or related fields is required with at least 5 years of relevant experience, including leadership and management experience.
- Ability to manage large-scale operations (from 200 employees) and processes, including procurement, facility management, travel management, and vendor management.
- English language proficiency: As a non-native speaker, strong command of the English language is essential. A minimum score of 7.0 on the IELTS exam is required.
- Professional certifications: Such as Certified Office Manager (COM), Certified Administrative Professional (CAP), or Certified Manager of Administration (CMA) can demonstrate expertise and enhance credibility.
- Demonstrated strong leadership skills, with the ability to manage team performance, delegate tasks effectively, provide guidance and direction, and promote a positive work culture.
- Having the inspiration in learning, keeping up-to-date with industry trends and best practices.
- Cross-cultural competence, strong organizational skills, excellent communication, and attention to detail
- Strong problem-solving skills, proficiency in technology, adaptability, and flexibility in responding to continuously changing business needs.
