**Senior HR Executive (Payroll, PIT, and SI)**:
**Job Purpose**:

- To perform duties necessarily for the accurate calculation of wages, maintenance of records, and distribution of payroll reports and withheld monies
- To act as a resource and provide leadership to Payroll Specialist

**Major Accountabilities**:
**Time Attendance**
- Process attendance logs
- Verify employee timesheets
- Check leave records of employees to make sure all are approved before processing payroll
- Ensures time, attendance, leave, and timesheet compliance with policies and procedures and administrative directives related to
- Provides attendance, leave balance, overtime, infraction, and other reports as needed for management
- Prepare working hours Monthly report

**Payroll**
- Record, and update the salary, bonus, allowances, and benefits of new employees and any changes of salary, allowance, and benefits of all employees monthly basis on HR software or Employee Master file for monthly payroll
- Process data entry for payroll under strict deadlines while ensuring all entries and system outputs are in compliance with VN labor law
- Maintain personnel database regarding salaries
- Cooperate with Team Leaders or the Supervisor of Production, Warehouse, and Quality Management Department to follow up and check the working schedule and actual in-out records on the HR software and correct any miss alignments
- Address and resolve employee complaints relating to the payroll system
- Update any changes on the Company’s policies of allowances for a proper payroll calculation.
- Prepare all necessary documents for bank transfer and transfer salary of the current month not later than the 5th working day of the following month
- Distribute data from the approved payroll sheet as a required template and send to Financial Department right after finishing the monthly payroll process
- Print pay-slip for operators and workers and solve employees' complaints relating to the payroll
- Report man-hours of the production department (including actual working hours, paid leave hours, and unpaid leave hours) of employees of each department to the appropriate TPU and Supervisor of the Production Department by the 5th of the following month
- Report man hours and other salary and benefits data as required template to Controlling by 10th of the current month
- Forecast salary for the current month and send to Controlling Dept. on 25th - 28th of the current month
- Report detailed income by sections for Code center based on monthly approved payroll sheet and send to Controlling Dept. after completing monthly payroll
- Conducts training sessions on payroll process for payroll specialist
- Provide payroll data for Deloitte and/or E&Y for yearly audit

**Personal Income Tax**
- Report monthly PIT contributions for all employees to the Tax Department
- Upload PIT report into Tax system and prepare payment process by 20th monthly
- Solve problems relating to PIT, if any
- Update any changes on PIT law for proper implementation as well as to communicate to all employees
- Prepare annual PIT finalization for all employees and report to Tax authority by 30th Mar following year
- Work with Tax authority for comparison sheet any time as requested

**Compulsory Social Insurance**:

- Update and report monthly in - out employees to the HCMC Social Insurance Department as per regulation
- Check and prepare necessary documents for settling health insurance claims for employees by monthly basic
- Update and report salary adjustments of employees as regulated by HCMC Social Insurance Department
- Close insurance book and settle any arising issues to return the book for employees who left the company as regulated to HCMC Social Insurance Department
- Open insurance book for new employees who have not yet got the book
- Ensure health insurance cards for all employees are available for use
- Prepare a comparison sheet of the amount payment for Social insurance in the month and the amount of social insurance on monthly payroll sheet and clarify in detail any difference
- Update information and/ or policies, regulations, and law relating to social insurance, health insurance & unemployment insurance for proper implementation and keep updating to the Human Resources Manager on the changes
- Prepare documentation for social insurance audit, if any
