Division Assistant

Division Assistant (Trợ lý hành chính Khối/Ban) cùng với Admin là hai team trực thuộc ban Tổng vụ (General Affairs).
Trợ lý hành chính Khối/Ban đóng vai trò:
- Là đại diện hướng dẫn giúp CBNV được khối back-office hỗ trợ xử lý các vấn đề liên quan kịp thời, hiệu quả;
- Trực tiếp xử lý các nhu cầu hành chính của Khối/Ban được phân công phụ trách;
- Là cầu nối giữa các Khối/Ban và giữa Khối/Ban với Ban lãnh đạo Công ty;
- Góp phần xây dựng môi trường làm việc hiệu quả, thân thiện, năng động, cởi mở.
- Nhiệm vụ cụ thể của trợ lý hành chính Khối/Ban gồm:
- Kiểm tra, giám sát, đảm bảo tình trạng CSVC và cảnh quan văn phòng: Quan sát và thông báo tới người chịu trách nhiệm để sửa chữa, thay thế, bổ sung đồ đạc, trang thiết bị, vật dụng văn phòng; đảm bảo cảnh quan văn phòng luôn sạch đẹp, gọn gàng, ngăn nắp và nhân viên văn phòng có đầy đủ tiện nghi (khu vực pantry, bàn ghế, máy in, cây cối,).
- Hỗ trợ tiếp đón nhân viên mới của đơn vị: Tiếp nhận thông tin và hỗ trợ các phòng ban liên quan chuẩn bị tiếp đón nhân viên mới; là đại diện hướng dẫn giúp CBNV, đặc biệt là nhân viên mới, được khối back-office hỗ trợ xử lý các vấn đề liên quan kịp thời, hiệu quả.
- Hỗ trợ tiếp đón khách của đơn vị: Tiếp nhận nhu cầu từ các Khối/Ban và hỗ trợ chuẩn bị công tác hậu cần trong việc tiếp đón khách (book vé máy bay, book khách sạn, chuẩn bị phòng họp, book xe đưa đón khách, chuẩn bị quà tặng khách,).
- Thủ tục công tác: Tiếp nhận nhu cầu từ các Khối/Ban và hỗ trợ chuẩn bị các thủ tục đi công tác của CBNV (thu thập giấy tờ gửi agency xin visa, book vé máy bay, book khách sạn, hoàn ứng/thanh toán sau chuyến công tác,).
- Tổ chức các hoạt động tập thể: Tham gia tổ chức hoạt động sinh nhật tháng, kỷ niệm thâm niên cho CBNV thuộc Khối/Ban được phân công phụ trách.
- Hỗ trợ tổ chức các sự kiện toàn công ty (Year-end-party, du lịch hè, sinh nhật công ty,)
- Nhắc lịch: Tiếp nhận thông tin về các sự kiện, deadline từ cấp quản lý, nhắc nhở các Trưởng Khối/Ban cùng CBNV tham gia/thực hiện theo đúng yêu cầu từ Công ty.
- Các yêu cầu khác theo yêu cầu từ cấp quản lý trực tiếp (hỗ trợ teambuilding, mua sắm,cho các Khối/Ban được phân công phụ trách).
**Requirements**:
- Ít nhất 2 năm kinh nghiệm ở vị trí hành chính hoặc trong ngành dịch vụ, khách sạn, du lịch.
- Chịu được áp lực cao.
- Tỉ mỉ, chu đáo, cẩn thận, chủ động, có service mindset, giao tiếp tốt.
- Kỹ năng làm việc độc lập và làm việc nhóm.
- Khả năng Tiếng Anh tối thiểu 6.0 IELTS hoặc tương đương.
