Bestarion has been providing innovative outsourcing services and business solutions to many successful clients in more than 15 countries for over 15 years now. Our wide range of services includes Big Data – Data Analytics, Securities Trading Solutions, Surround Core Banking Solutions, E-commerce/Social Network App Development, and Web App Development. We focus on today's trends of Big Data, Cloud Computing, Social Networks, Mobility, and the Internet of Things.

The position will be based in Irvine, California for 9–12 months before transitioning to Bestarion's HCMC office

RESPONSIBILITIES

  • Book travel for Slower Incubation resources, partners, and vendors
  • Prepare and file expense reports for Incubation resources.
  • Coordinate all on-site visits to Slower offices in Southern California.
  • Plan and book customer events for Slower Incubation USA.
  • Support employee onboarding and off-boarding tasks.
  • Assist in scheduling and managing parts of the CEO's calendar.
  • Maintain and manage Slower Irvine offices (bills, services, parking, food, etc.) with scope expanding to a third office.
  • Assist in planning and preparing for a new Orange County office in 2026.
  • Manage vendors for office renovation and services.
  • Distribute packages to Slower employees in the USA.
  • Other administrative and marketing support tasks as assigned.

JOB QUALIFICATIONS

Educational Backgrounds

  • Bachelor's degree in Business Administration, Office Management, or related field.
  • Fluent English (both written and spoken).

Knowledge & Skills

  • Strong organizational and coordination skills.
  • Proficiency in office software (MS Office, Outlook, Google Workspace).
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and priorities.
  • Knowledge of event planning and vendor management.

Experience

  • 3+ years of experience as an Administrative Assistant or Executive Assistant.
  • Experience in international travel booking and expense management preferred.
  • Exposure to supporting senior executives or CEOs is a plus.

Attitude

  • Highly responsible, detail-oriented, and proactive.
  • Professional, service-minded, and discreet with sensitive information.
  • Adaptable to work in both US and Vietnam environments.
