Main Responsibilities

  • Coordinate administrative processes and internal communication (endomarketing) between departments to promote a cooperative and high-performance environment.
  • Lead facilities budgeting, planning, and execution with the support of an assistant.
  • Support in the execution of legal contracting for local services, and those more specific with international providers that may touch regulatory processes in support of our growth strategy
  • Manage documentation in English and Vietnamese and follow up on the implementation of internal workflows (scheduling, requests, purchase approvals, certificates, ...).
  • Support HR-related tasks such as onboarding, time tracking, and record keeping.
  • Support in ESG Workflow (E&S) and on what this touches HSE practices currently in place aside from the production team that today leads these initiatives.
  • Liaise with external partners and service providers (suppliers, consultants, agencies).
  • Contribute to the continuous improvement of office organization and internal procedures.

Requirements

  • Degree in Business Administration, Management, or a related field.
  • 2–5 years of experience in administration, coordination, or operations support.
  • Strong organizational and communication skills.
  • Good command of English (written and spoken).
  • Ability to multitask and work across functions with autonomy.
  • Proficiency in MS Office (experience with ERP/Odoo or CRM is a plus).

Plus (not required but highly valued):

  • Experience supporting internal teams in functions, sales, events, and marketing activities.
  • Familiarity with HR documentation, deadline dynamics, or compliance routines.
  • Experience coordinating third-party suppliers or service providers.
