Role Description

Responsible for coordinating import shipments to ensure smooth customs clearance and on-time delivery to stores/warehouses in line with company standards on lead time, output, and cost. Handle textile formaldehyde self-declaration and support e-commerce operations by following up with couriers, CS, and Operations on delivery issues, courier compensation, billing checks, and payments.

Responsibilities

1. Coordination with Suppliers and Customs Brokers

· Liaise between suppliers and customs brokers to ensure all import shipments are processed efficiently and accurately.

2. Import Documentation Checking

· Verify commercial documents including Invoice, P/L, and Bill of Lading.

· Check goods description, material, and dimensions to ensure consistency across documents.

3. Check Customs Declaration

· Review and confirm data on the Customs Declaration Sheet before e-customs submission.

· Verify Vietnamese descriptions and HS codes based on supplier data and Vietnam tariff.

· Adjust and confirm HS code discrepancies with suppliers when necessary.

· Check and prepare import duty payments.

4. Clearance Process Follow-up

· Monitor customs clearance progress with brokers to ensure timely release and delivery to packing stations.

· Coordinate with the Supervisor and provide immediate instructions to brokers to resolve any incidents or delays.

5. Billing and Payment

· Verify and confirm clearance costs from brokers.

· Prepare payment requests to brokers.

· Receive and manage original shipment documents from brokers; hand over to Finance while maintaining records.

6. Reporting and Data Management

· Calculate Estimated Freight Cost (EFC).

· Maintain and update shipment and testing reports.

· Update data in SAP and extract reports as required.

· Manage Purchase Order (PO) releases (non-MD for ITX brand; all POs for fashion brands).

7. Textile Formaldehyde Self-Declaration

· Coordinate with lab testing teams to register testing documents (registration form, testing list, invoice, packing list, customs declaration).

·  Communicate with store teams regarding testing samples.

·  Prepare and upload self-conformity declarations to the authority website for approval.

8. E-Commerce Logistics

· Monitor last-mile delivery with courier vendors for online orders and returns.

· Review courier KPIs and arrange payments to couriers.

9. Other Duties

· Perform other tasks as assigned by the Manager or Supervisor.

Qualifications

· Bachelor's degree in the Supply Chain field, good knowledge of HS code, customs regulations, and other related regulations for imported products.

· 1 year of experience in Import & Customs declaration, preferably retail & fashion product.

· Good speaking and writing English skills.

· Fast learner, hard-working

· High sense of responsibility and proactive working attitude

· Good practice in Microsoft Excel, experience in SAP is a plus.
