Senior Facilities Coordinator

To support the delivery and continuous improvement of soft services, including housekeeping, pantry, waste management, admin and internal events. The role also ensures coordination with technical teams and building management for office repair issues, promotes teamwork, and supports client visits and site readiness.
Key Responsibilities
- Housekeeping Services
- Supervise daily housekeeping operations to ensure hygiene and cleanliness standards are consistently met.
- Coordinate with housekeeping vendors and follow up on performance, cleanliness inspections, and ad-hoc cleaning needs.
- Pest Control & Waste Management
- Oversee pest control scheduling and execution with service vendors.
- Monitor proper waste segregation and disposal practices in compliance with environmental standards.
- Pantry & Office Support
- Ensure pantry areas are well-maintained, clean, and stocked with necessary supplies.
- Coordinate with vendors to maintain and refill pantry items and vending machines.
- Maintain meeting room readiness and general office tidiness.
- Repair & Maintenance Coordination
- Work closely with the technical team to address repair requests related to office furniture, fittings, and fixtures.
- Raise repair tickets, follow up on job completion, and coordinate timely response.
- Liaise with building management for shared-area issues, maintenance permits, and service coordination.
- Internal Collaboration & Team Management
- Work as part of the FM team, ensuring smooth communication and coordination between soft service and technical functions.
- Supervise and guide housekeeping staff (if under site scope) to deliver services effectively.
- Support teamwork culture and ensure team members meet performance expectations.
- Client Visit & Events Support
- Prepare the office environment for client visits, ensuring cleanliness, setup, and readiness.
- Assist with logistics and coordination of internal company events, celebrations, and team-building activities.
- Collaborate with internal stakeholders to organize small
- to medium-scale events at site level.
General Duties
- Maintain service logs, reports, and compliance checklists.
- Participate in vendor performance reviews, audits, and continuous service improvements.
- Support site HSE practices in relation to soft services.
- Identify and suggest improvements to enhance the employee workplace experience.
Requirement
- Bachelor’s degree in Hospitality, Facility Management, or a related field.
- 2-3 years of relevant experience in soft services or office facility operations.
- Good communication, organizational, and problem-solving skills.
- English skills (spoken and written)
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Team player with ability to manage tasks and small teams independently.
