The Marketing Administrative Assistant provides comprehensive administrative and office support to the Marketing team in a pharmaceutical company. This role ensures the smooth operation of marketing activities, including support for brand activities, and contributes to the efficient execution of marketing plans and strategies.
- Assist with daily administrative tasks including data collection and entry, filing, and organizing documents.
- Process supplier contracts, payments, invoices, project briefs, and other relevant documents for approval.
- Prepare work-related reimbursements and liquidation forms with supporting documents and receipts.
- Route documents within marketing and sales to other departments.
- Arrange meetings and conferences, schedule appointments, and make travel arrangements.
- Assist in logistics planning and setting up for BTL activations, Continuing Medical Education (CME) Programs, conferences, and other special events.
- Make necessary room rental, reservation, or catering arrangements.
- Coordinate and execute tasks related to marketing campaigns and product launches.
- Order and monitor Point of Sale Materials (POSMs) related to category activities, ensuring they are used efficiently and not wasted.
- Ensure proper management and use of office supplies.
- Prepare and process requests for office supplies and equipment as needed.
- Process product returns.
- Work on ad hoc marketing projects assigned for training purposes.
