Site Lead
Integrated Facilities Management
**What this job involves**:
Keeping a well-oiled workplace
Together with the facilities management team, you’ll help ensure that maximum customer experience is provided to client stakeholders and external vendor partners. Staff and all parties should enjoy a safe and positive office experience. You’ll be trained to follow escalation and incident reporting procedures, and comply with the firm’s safety guidelines and strategies.
**Your responsibilities also include, but are not limited to**: booking meeting rooms; managing office supplies inventory; handling paperwork on maintenance-related activities; and updating the phone directory and company brochures. You’ll also be expected to assist the facilities management team in overseeing contractors on-site and finding vendors and services.
Managing site operations
Being on site, you will implement Industry Best Practice operations, assist and monitor to ensure all building procedures and performance measures are maintained at all times, are met and seek ways to reduce costs and improve operational standards. 24/7 emergency call support and site attendance is also required.
On top of that, you will also be managing finances. You will ensure that the site’s financial operations are meeting targets and control requirements. You will also assist and monitor financial processes to ensure that account payable procedures are followed at all times.
Move and Change
You’ll be the main support for the moves, adds, and changes (MAC) projects of the 2 offices in Vietnam Ho Chi Minh City offices. You will coordinate and provide major support in implementing move projects. As part of the FM Team, you are expected to have knowledge in FM ops and you must demonstrate high levels of tolerance to various work deadlines and fast-paced client environment. You should be able to provide above and beyond support to the stakeholders in the office and the team.
Interacting with people
You will be managing and coaching a team, ensuring that your team members are motivated, have high morale, trust and work ethics. You will also actively create an environment that supports teamwork, co-operation and performance excellence within the team. For continuous learning, you will also assist in mentoring and enabling Training & Development of team members.
Delivering excellent customer service
Clients are important to us. Thus, you will play an important role in delivering excellent customer service to meet on-site client’s expectations. This includes building and developing effective relationships with key stakeholders and/or client and be comfortable in working across all levels. You will also monitor procedures to ensure client’s expectations are conveyed and worked upon.
Managing vendors
You will be managing multiple vendors including hard and soft skills to deliver services on time and within budget. This includes procuring vendors in accordance to client’s procurement guidelines as well as our procurement best practices.
You are to ensure that all contracts are professionally delivered at the right cost and in line with our code of ethics. You will also monitor expiry of contracts, initiate re-procurement if needed and continually assess contracts to ensure best value delivered to the client.
Ensuring safety
To ensure the provision of a safe working environment, you will implement and manage safety procedures and ensure compliance with statutory regulations on fire, health and safety standards. You will also assist in the implementation and management of a property risk management program as well as the disaster recovering and business continuity plans. You will also follow established escalation procedures and incident reporting procedures, adhering to our firm’s guidelines, procedures and strategies.
Knowledgeable and experienced
You should have at least 36 months of experience in a corporate environment, particularly in administration and VIP support within an operations environment. An experience in facilities, property management, hospitality or related field is ideal.
