**Job summary**:

- An excellent Senior Facilities Manager role is now available in an international school based in Ho Chi Minh city.
- This Senior Facilities Manager is to focus on providing strategic leadership and operational management of all properties, buildings and infrastructure assets

**Responsibilities**:
Facilities Services
- Formulate and execute comprehensive strategies pertaining to operations and facilities for all school campuses in Vietnam, aligning them with the strategic plans of the organization.
- Collaborate as a member of the Senior Leadership Team Operations at the school, engaging in regular meetings and consultations with other SLTs to provide assistance for divisional or school-wide initiatives.
- Establish and implement policies, procedures, and best practices in facility management to ensure the smooth and efficient execution of operational activities.
- Oversee day-to-day operations, ensuring that all facilities related service requests are timely and properly delivered, including: Cleaning; Security & parking; Waste management & Recycling; Landscaping; Catering & Events supports; Transports / School bus service; Mail
- Other out-sourced services as required
- Take a leadership role in crisis management pertaining to facilities, ensuring that any disruptions to on-campus activities are minimized.
- Recruit, supervise, and manage staff to effectively meet the goals and objectives of the schools. This includes conducting performance management reviews and providing professional development opportunities to ensure optimal performance within a team environment.
- Participate in various aspects of contractor selection and management, such as engaging in tenders, overseeing contract compliance, administering contracts, and evaluating contractor work. This applies to services such as the school bus service, cleaning service, security service, maintenance services for grounds and buildings, as well as waste disposal systems, recycling activities, and mail service.
- Engage in classroom space planning and allocate resources efficiently to ensure an optimal learning environment.

Maintenance & Repairs
- Oversee and coordinate all maintenance, repairs, and upgrades of facilities.
- Establish and manage a preventive maintenance program to ensure regular servicing and maintenance of building systems and equipment, reducing downtime and extending their lifespan.
- Collaborate in coordinating insurance claims for any damages to facilities.

Health & Safety
- Ensure adherence to applicable health and safety regulations, building codes, and other legal requirements.
- Supervise and manage building security, including access control, surveillance, and security systems.
- Efficiently handle relationships with local authority organizations involved in facilities safety, such as fire police, local police, Department of Natural Resources and Environment, and food safety.

Budgeting & new construction support
- Develop, negotiate, and finalize annual Opex (operating expense) and Capex (capital expense) budgets for repairs and maintenance.
- Monitor the facility operating plan and track the expenditure of budget funds allocated to each campus.
- Conduct analysis and forecasting, contributing to the formulation of a maintenance plan and cost reduction initiatives for a five/ten-year period.
- Support Manager in the development of capital budgets for the property and assist with development projects.

Extended professional role
- Take a leadership role in fostering the desired culture by actively promoting the philosophy and policies of the Group and its constituent schools.
- Assume responsibility for the safety and well-being of students and fellow team members during emergency situations.
- Engage in positive and effective communication with staff, leadership, and members of the school community.
- Fulfill additional duties as assigned by the Managing Director

**Experience requirements**:

- Proven experience in Facilities Management, preferably within the educational sector.
- Demonstrated expertise in supervising building works, managing contractors, and handling contract preparation and administration.
- Knowledge, qualification, and/or experience in Project Management.
- Excellent interpersonal and communication skills, including the ability to establish strong relationships with key stakeholders, effective negotiation skills, and the ability to resolve issues constructively.
- Experience in managing staff.
- Familiarity with budgets, forecasting, and metrics.
- Proficiency in computer skills.

**Education requirements**:

- Bachelor of Engineering/Management or related fields with solid knowledge of local occupational safety requirements or other relevant experience
