Administration Executive HR e Executive

**About this position**:
This role combines Administration, HR, and Finance tasks, including managing training logistics, onboarding new employees, handling insurance/tax registrations, processing payments, and issuing VAT invoices. Ideal for proactive multitaskers with attention to detail in a dynamic, collaborative environment
**ADMINISTRATION TASKS**
- Follow up and collect survey documents for end-of-course reports related to training classes.
- Send and track trainers' reports; complete the reports to send to clients.
- Be in charge of the English assessment testing process, including initial and final testing.
- Coordinate with the Sales Team to prepare upcoming courses: printing certificates, participant lists, and all training materials.
- Manage and purchase individual gifts and group gifts for training courses.
- Assist in preparing training materials for upcoming courses: print materials, handouts, facilities for activities, tools, gifts, books, lunch arrangements, and tea breaks.
- Handle office administration tasks such as ink replacement, ordering mineral water, managing taxi cards, and sending/receiving couriers.
- Answer incoming phone calls and record necessary information.
- Manage and print soft folders (front & back covers).
- Perform other tasks as assigned by the manager.
**HR TASKS**
- Prepare labor contracts/decisions or contract appendices for staff; manage and update the employee database.
- Register social insurance, health insurance, unemployment insurance for new employees; close social insurance books when employees leave the company.
- Settle insurance benefits for employees (sick leave, maternity leave ).
- Register personal income tax codes (PIT) and dependents for new employees.
- Support organizing office events (birthdays, year-end parties, visitor receptions ).
**FINANCE TASKS**
- Input all payment requests into the bank system and accounting software.
- Create payment request forms and service acceptance minutes for completed training sessions.
- Update the list of upcoming training courses and issue VAT invoices for clients.
- Support the Finance Manager by printing out and saving accounting documents.
- Visit banks to submit financial documents or handle transactions with the Tax Department when required.
- Assist the Finance Manager in finalizing yearly PIT reports.
- Perform other duties as assigned by the manager.
**QUALIFICATIONS**
To excel in this role, you should possess the following qualifications:
- Familiarity with office management tasks.
- Proficiency in preparing reports, documents, and materials for training sessions.
- Strong multitasking ability to handle diverse responsibilities across administration, HR & finance simultaneously.
- Proactive approach to resolving issues related to office administration or employee benefits.
- Flexibility to handle ad hoc tasks effectively as assigned by managers.
- Positive attitude with a willingness to learn new processes or tools
