**POSITION PURPOSE**
Senior Academic Admin Officer will provide excellent assistance to the Chief Academic Officer, Dean of Higher Education, Course Office Manager, Partner institutions, Faculty staff, students and parents in daily course operations’ admin activities, finance and inventory management under Academic.
Senior Academic Admin Officer will contribute to the achievement of the academic delivery quality for all undergraduate and postgraduate courses, the smooth delivery of services and enquiry management to all stakeholders regarding equipment, resources for daily class preparation and operations, health and safety of the study environment, course administrations and documentation.
***AREAS OF RESPONSIBILITY**
- Manage and keep a full track record of all assets, inventory, and equipment purchased under the Higher Education department, in a clear, systematic and effective manner.
- Act as a contact point for faculty for any purchase of teaching materials, teaching equipment and supplies.
- Support faculty members in planning and implementing annually, semesterly, and weekly purchases of equipment, materials and ingredients for course delivery requirements.
- Prepare monthly timesheet for faculty, payment plan, stationary and other admin support for faculty.
- Be in charge of all purchases of goods and services for the operations and delivery of courses and programmes offered at BUV, from preparing contracts, PA, PRs, and payment clearance. Work closely with Procurement Department and Finance for related areas.
- Support the Chief Academic Officer and Dean of Higher Education in preparing budgets, monitor and keep clear and up-to-date records of all expenses and budget figures within the Higher Education Department.
- Coordinate events and logistics, arrange booking and event setup for all events within the Academic team, and work with suppliers and other stakeholders.
- Work with Chief Academic Officer, Dean of Higher Education and Course Office Manager to prepare reports when required.
- Prepare course materials and class materials for students and lecturers before every semester.
- Coordinate within Course Office and Student Information Office to ensure classes running as timetabled with required resources, equipment, and devices(admin side) and provide timely support and communications to faculty and students if there are any changes.
- Handle and report all requests and enquiries from students regarding their classes, learning resources, learning materials and equipment, and other academic issues.
- Contribute and support the department’s events such as parent meetings, student meetings, in logistics preparation, paperwork and student profiles.
- Other tasks assigned by the line manager and the Academic management team.

- Essential _
- Bachelor’s degree preferably in Business Administration, Finance and Accounting, or Foreign Languages
- At least three-year experience in the same position in a university or similar institutions environment is an advantage
- Excellent written and verbal communication skills, both in English and Vietnamese
- Desirable _
- Masters degree
- Extensive experience in the area of administration from an international education institution in Vietnam or overseas.
