About SAP Labs Network and SAP Labs Vietnam

SAP Labs Network is the global R&D setup where over 55,000 engineers around the world create, operate and support the most innovative enterprise solutions for SAP’s customers worldwide. SAP Labs Vietnam aims to become one of the key locations within the SAP Labs Network to support the engineering growth for SAP.

**What you'll do**

Reporting into the MD for the Labs, the Operations Specialist provides administrative services to the MD and the senior management team. This role is to ensure the smooth execution for tactical topics that arise during the ramp up of Labs Vietnam around the operational activities.

In the initial phase, this person will work with facilities and IT to set up the office, and ensure all capabilities within the office are within the SAP standards, coordinating closely with the Global Facilities and IT organisations.

During the ramp up of the teams, this person will support the establishment of the local teams, and support selected expats from the other locations to settle in. In required situations the person will act as a bridge between local requirements and will also double hat as a translator in specific situations.

This person will need to manage the key schedules for recurring meetings, ensuring all inputs for the meeting are in place prior to the meeting, and then ensure tasks emerging from the meeting are followed through.

Fluent in both English and Vietnamese (for both written and spoken) the person may occasionally need to provide translation capabilities to the senior management team.

This person will also support the on-site organization of events, planning and booking activities, and ensure a smooth running of all activities pertaining to the Labs, together with the other SAP Labs Network operations team.

**What you bring**
- The overall activities of the Labs MD, providing administration services to the MD and organization's portfolio of projects and operational activities
- Reporting: Consolidation and preparation of Operations/Project status, Scope changes, Project overview, Resource allocation and availability, Milestones, Projections, and coordinating management meetings
- Issue Management and Tracking: Assessment, logging, monitoring and follow throughs on behalf of the Labs Operations teams
- Travel and administration tasks as required for the MD’s office and on-site senior management team
- Able to communicate efficiently on behalf of MD’s office to internal, External Customers, Business Partners, Suppliers etc.
- Ensure compliance with organizational standards (Ethics, Audit, Security, etc.)
- Organize and coordinate department activities as required
- Provide administrative support to the MD during and beyond office hours
- Hands on attitude, and can do mindset is a must.
- Maintains the highest standards on work ethics and compliance to SAP’s employee code of conduct
- Ambassador for the workplace in the local market

Experience Requirements
- Similar/Administrative management role in and experience in establishing operational excellence in a tech company, preferably in a top tier Tech multinational is key to success in this role
- Understanding of global processes and key standards
- Ability to managing key topics around office and team requirements - and expectations for individuals on the ground
- Strong employee focus and demonstrated acumen to cultivate and develop lasting employee relations
- Demonstrated ability to grow and take on more responsibility
- Driven, creative and enthusiastic individual committed to growing the location and making the office a “lighthouse” for employees
- Note: We are not looking for a Personal Assistant - but someone who can learn the ropes and move to senior operational roles.

Experience & Language Requirements
- Fluent bi-lingual in Vietnamese and English is a must (spoken and written), good written and spoken translation capabilitie
