**Job Title - Site and Accounting Administrator**

**Job Type - Fulltime / Permanent**

**Position Summary & Objective** 

As part of our growth **we are looking for Site Admininstrator in our Vietnam office,** whereyou will be partnering with key sales and account stakeholders to develop a high variety and quality of Trim Products.

**Essential Functions Performed by the Position**

The below list of tasks includes but is not limited to:
**Accounting tasks**:

- Accounts Receivable
- Accounts Payable
- Create VAT Invoices, Issue Delivery Note
- Create Purchase Orders

**Administration**
- Organize, schedule, and coordinate onsite and offsite meetings and events, including securing location, ordering refreshments, prepping materials, and acting as onsite contact if required.
- Organize and coordinate employee engagement activities, events and awards: planning and executing events such as team building activities, company outings.
- Single point of contact regarding office matters and office maintenance related questions.
- Distribute and manage incoming and outgoing business correspondence, including courier arrangement.
- Coordinate with HR Manager and Engagement Committee with the installation and take down of event and holiday materials.
- Support office security & safety coordination, communication and needs as directed by site leadership.
- Communication for Site employees on office related matters.
- Support colleagues on any other office related topics.
- Maintain equipment registers (mobile phones, entrance cards, security codes).
- Promote positive work environment.

**Stock Control**
- Maintain coordination of printer toner supplies and coordinate with vendor when printers need support in a timely manner.
- Maintain storage of general office supplies.
- Monitor, maintain, manage and order office and kitchen supplies, inventory, manage stock control.
- Control canteen and coffee/tea machines, keep them tidy and fully stocked.

**Facilities**:

- Liaison with the office’s Facilities Management company to resolve facilities issues
- Maintain restroom supplies ensuring fully stocked and coordinate with vendors to ensure restrooms are in working order.
- Manage office cleaners to ensure high standard of cleaning in all office areas
- Interface with service providers/suppliers’/ vendors of the office (e.g. ask quotations, administrative management of contracts, check invoices, etc.).
- Facility management (e.g., non-functioning office plumbing equipment, conditioning malfunctioning etc.).
- Maintain a safe and secure working environment.

**Experience**:

- Experience of accounting administration and general administration.
