Responsibilities
About Procurement:

  • Conduct IT and non-IT Purchasing /procurement tasks.
  • Follow up on the delivery process to ensure timely deliveries
  • Track the actual cost of the Facility and update the forecast deliveries
  • Maintain vendors' master data, qualification, and services.
  • Input data into the D365 (Training will be provided for this assignment)

  • Assist in preparing Procurement reports relating to requests and purchase requisitions.

  • Review and ensure that the purchase requisition is approved before the procurement process.
  • Create Purchasing Orders and Product receipts on the system as requested.
  • Collect Supplier invoices and input them into the system.
  • Follow up and update all related information.

About Facility Management

  • Coordinate the repair and supervision of electrical systems, refrigeration systems, fire safety systems and other facilities in the office.
  • Supervise office leases, construction contracts, infrastructure service contracts and service providers.
  • Assign tasks for cleaning and maintaining office facilities to team members.
  • Supervise areas inside and outside the office, such as offices, meeting rooms, training rooms, etc. to ensure that they are always clean and safe.
  • Supervise the implementation and project management of new office construction, periodic maintenance on facilities and repairs as needed.
  • Schedule routine inspections and perform emergency repairs with external providers.
  • Ensure appropriate security measures for the workplace, including collaboration with security system vendors or security professionals. Operate the CCTV, Access Door system.
  • Collaborate the daily task with Office security guards and tea ladies.
  • Maintain operations and coordinate with the building management board to perform works to ensure technical stability and safety at the workplace.
  • Coordinate with building owners and upper management on budgets for facility needs.
  • Coordinate and provide the office supply stuffs: Medicine, office plant, accessories, etc... and other office needed.
  • And other work items arising (if any) from superiors.

Qualifications

  • Required experience for IT management services.
  • Bachelor's degree in computer science or equivalent fields
  • Above 2 years IT supporting work experience in a multinational company.
  • Solid knowledge on business requirement gathering process.
  • Solid knowledge on IT system design and management.
  • In depth knowledge on one or more business areas and familiar with IT processes, policies and procedures.
  • Analytical trouble shooting skills and logical approach to problem solving.
  • Good knowledge of Windows systems and network systems
  • Customer orientated, enthusiastic and courteous.
  • Proactive attitude in work and a good team player
  • IT assets control and management
  • Strong communication skill, good command of English, both oral and written
  • Establishing processes for on-going communication of business needs and strategy
