I/ Internal-Facing Executive Secretary (Đối nội)

A. Job Description:

The Internal Executive Secretary will provide administrative and operational support primarily within the organization, assisting the CEO in internal communications, data management, and reporting.

Key Responsibilities:

  • Manage the CEO's calendar, schedule internal meetings, prepare agendas, reports, and take minutes.
  • Assist the CEO in assigning tasks to departments and follow up to ensure timely completion.
  • Collect, consolidate, and analyze reports from departments, preparing professional management reports for the CEO and Board of Directors.
  • Maintain accurate tracking of key performance data, metrics, and internal documentation.
  • Support internal communication initiatives and coordinate with HR on team-building and internal events.
  • Maintain and update internal dashboards, Excel reports, and other data management tools.

B. Job Requirements:

  • Bachelor's degree or higher in Business Administration, Accounting, Finance, or related fields.
  • Minimum 1 year experience as Executive Secretary or Assistant to senior leadership in a professional environment.
  • Fluent in English (verbal and written, level C).
  • Advanced Excel and data management skills; proficient in Microsoft Office and reporting tools.
  • Strong organizational, planning, and interpersonal communication skills.
  • Ability to work independently and coordinate effectively with multiple departments.

II/ External-Facing Executive Secretary (Đối ngoại)

A. Job Description:

The External Executive Secretary will support the CEO in managing relationships with external stakeholders, including clients, partners, and media, as well as coordinating corporate events, travel, and branding activities.

Key Responsibilities:

  • Manage CEO's schedule for external meetings, business trips, and official events; coordinate with HR for visas, flights, accommodation, and other travel arrangements.
  • Organize and coordinate corporate events, customer meetings, and partner engagement activities.
  • Collaborate with Marketing to manage the CEO's personal brand and corporate branding across LinkedIn, Fanpage, YouTube, and other platforms.
  • Support internal and external communication initiatives, CSR activities, and special events.
  • Maintain a portfolio of organized events, employment branding initiatives, and track their outcomes.
  • Participate in VIP customer and partner care, providing direct support on special projects as needed.

B. Job Requirements:

  • Bachelor's degree or higher in Business Administration, Marketing, Communications, or related fields.
  • Minimum 1 year experience supporting senior management in external relations, events, or corporate communications.
  • Fluent in English (verbal and written, level C).
  • Proficient in Microsoft Office, Google Workspace, and event/project management tools.
  • Strong organizational, interpersonal, and communication skills.
  • Experience in marketing, event management, or employment branding is a plus.
