Objectives:

The Property Management Manager reports to the Head of Property Management and is responsible for the day to day operations of the project: supporting, directing and planning towards a successful and efficient management for all services provided at the project.

Key accountabilities:

  • Conduct and ensure the implementation of the project management plan as scheduled and following approved requirements:
  • To coordinate with other departments to get the information of the Project and provide to Property Management team: Building specs; drawings; handover status; completion schedule..
  • Upload the information into the system / Masterise app
  • Coordinate with sales / handover to prepare the stacking plan showing the sold units, handover/yet handover units, fit out, move-in units…
  • Together with the (Senior) CE, to review drawings and propose recommendations for matters that affect the operation to design and PD teams
  • Together with the Management Agent, setting up the management system for the assigned project:
  • Review and get approval for the preopening budget and operations budget
  • Review the proposal of the subcontractors appointment, get approval and follow up with the contract negotiation.
  • Review and get approval on the SOP and ensure the execution of the SOP
  • Set up / review the handbook, fit-out guide and support the onsite PM to ensure the compliance to those rules and regulations.
  • Support the HO team during the handover period.
  • Work closely with the onsite PM to ensure that the project is managed and operated in accordance to the procedures.
  • Set up/ Up-date/ Carry out policies and procedures under the guidance of the Senior Property Management.
  • Conduct weekly operations meeting and submit meeting minutes to Masterise Property Management (Head Office) for follow-up and deploy plans where necessary.
  • Review monthly report submitted by the onsite PM, consider and propose recommendations for renovation, improvements for all items in the project, etc. (if any).
  • Work close with the onsite PM to lead and oversee a team of Property Managers to manage the day-to-day operations of individual buildings.
  • Support the onsite PM to handle problems and incidents relating to the daily operation to improve the service
  • Responsible for controlling costs for the assign project.
  • Conduct monthly operations audit to the property portfolio
  • Carry out the handover of management and operation activities at the projects of the Self-Management Board / Building Owner's Committee in accordance with current legal regulations
  • Plan and conduct the organization of the first AGM according to the procedure "Organizing the first AGM - Electing the BOC"
  • Plan and organize the implementation of handover of management and operation activities to the Self-Management Board / Building Owner's Committee in accordance with current laws and the procedure of "Handover of projects from the Developer to the BOC"
  • Coordinate with other departments to compile records and data of the Sinking Fund (if any) for the project to serve the handover to the Self-Management Board / Building Owner's Committee
  • Representing the Developer to participate in the Self-Management Board/ Building Owner's Committee with the role of Deputy according to the Law
  • Manage and store handover records sufficiently
  • Other works as assigned by higher levels.

Standard Competencies:

  • Bachelor degree in hospitality, tourism, foreign languages, business management etc.
  • 10+ year experiences in related field. Minimum 3 year experiences in same position.
  • Communication Skill: Strong written and verbal communication skills in Vietnamese and English
  • Ability to make reports, presentations and have business acumen
  • Ability to negotiate and persuade to ensure relationships are resolved effectively
