POSITION PURPOSE

The Procurement Specialist supports the Indirect Procurement Manager in handling day-to-day purchasing operations to ensure all goods and services are procured on time, within budget, and in compliance with company policies. This role plays a key part in maintaining cost efficiency, supplier reliability, and operational continuity across departments.

ACCOUNTABILITIES

  • Execute the end-to-end procurement process: prepare purchase requests (PR), request and compare quotations, issue purchase orders (PO), and follow up on delivery and payment.
  • Source, contact, and update supplier information; assist in evaluating and maintaining the approved supplier list.
  • Coordinate with internal departments (Finance, HR, Operations, Marketing, Project Development, etc.) to ensure smooth purchasing operations.
  • Prepare and maintain procurement documentation, including quotations, contracts, POs, and delivery records.
  • Support contract drafting and review; verify key terms such as price, delivery timeline, and payment conditions.
  • Track order progress and supplier performance, ensuring timely delivery and compliance with quality requirements.
  • Update procurement and cost reports, support management reporting, and contribute to cost-saving initiatives.
  • Perform other duties as assigned by the Procurement Manager.

REQUIREMENTS

  • College or University degree in Business Administration, Economics, Accounting, Supply Chain Management, Engineering, or related fields.
  • 3–5 years of relevant experience in procurement, preferably in construction, MEP, F&B, or FMCG industries.
  • Strong communication, negotiation, and teamwork skills.
  • Detail-oriented, honest, and highly responsible with strong follow-up ability.
  • Proficient in MS Office (Excel, Word); familiarity with ERP systems is an advantage.
  • Ability to read and understand English documents, quotations, and contracts is a plus.
