Job Summary:
The
Sales Admin
will play a crucial role in supporting our sales team by managing customer communications, preparing proposals, creating engaging presentations, and coordinating with various departments to ensure timely and accurate quotations.
Key Responsibilities:
1. International Sales Support and Communication
- Inquiry Handling: Receive, categorize, and respond to emails and phone calls from foreign customers (Europe, US). Fluent English communication is mandatory to clarify requirements regarding machining, materials, tolerances, and technical standards.
- Quotation Coordination: Coordinate closely with the Engineering and Production Departments to gather information on costs and lead times. Prepare professional Quotations and Sales Orders in English, adhering to international standards.
- Contract/Order Management: Monitor and update order status from confirmation to delivery, ensuring compliance with the terms and conditions agreed upon with international clients.
- Sales Team Assistance: Prepare essential sales documents, company profiles, and offer samples for the Sales Team for international business trips or exhibitions.
2. Administrative Support:
- Customer Relationship Management (CRM): Update customer information, transaction history, feedback, and related documents within the CRM system.
- Record Keeping: Organize and manage all documents, contracts, quotations, and invoices related to export and sales activities.
- Reporting: Compile weekly/monthly/quarterly sales data (revenue, order volume, market performance, etc.) and prepare management reports in English for the Board of Directors.
3. Flexible Working Hours:
- Be available to work flexible hours, including some evenings, to accommodate customers in the US timezone.
Qualifications:
- Proven experience in a sales support or administrative role.
- Excellent communication and interpersonal skills.
- Excellent English
- Proficiency in Microsoft Office Suite, especially PowerPoint and Excel.
- Strong organizational skills and attention to detail.
- Ability to work independently and as part of a team.
- Knowledge in the metal bending/machinery industry is a plus.
