We're looking for a highly organized and proactive Project Manager to join our team. In this critical role, you'll be the central point of contact for administrative, compliance, reporting, and customer lifecycle management needs for our customers and internal resources. You'll ensure smooth onboarding and offboarding processes, manage vital documentation, develop insightful reports, and maintain clear communication channels. We're looking for an adept problem-solver who can think on their feet, exercise sound judgment, and commit to immediate escalation when unsure.
The Project Manager will help our numerous customers improve their reporting, productivity, and compliance using AI solutions. We're incredibly excited about the potential impact this role will have across diverse sectors, including Healthcare, Financial Services, Gaming, Entertainment, and Hospitality.
Work Location & Schedule:
● Training period: 3- 6 months onsite in the U.S., full-time in U.S. business hours
● After training: Based in Vietnam, working VN hours (8 AM–5:30 PM, Mon–Fri)
● Meetings: 3–5 meetings per week in U.S. time (evening in VN)
● Travel: 1–2 short business trips to the U.S. per year
The Opportunity:
KEY RESPONSIBILITIES
● Must possess a great social and can-do attitude and be able to speak and understand English
Resource Management & Administration:
● Facilitate the onboarding of new resources for our customers, ensuring all necessary steps and documentation are completed efficiently.
● Manage the offboarding of resources from our customers, handling all administrative closures.
● Follow up diligently on various administrative customer items, ensuring timely completion and compliance.
Documentation & Compliance:
● Documentation & Knowledge Management: Demonstrated ability to create, manage, and maintain operational and compliance-related documentation, including onboarding guides, NDAs, SOWs, SOPs, and customer-facing resources. Proficient in Confluence, Google Workspace, and related tools to ensure documentation is centralized, accessible, and audit-ready.
● Ensure all processes adhere to compliance requirements for both internal operations and customer engagements.
Reporting & Analytics:
● Develop and manage comprehensive Atlassian Jira Reporting, generating and distributing these reports to both customers and internal resources.
● Build and develop various reports for our customers, including compliance reporting and business reporting, providing valuable insights.
● Independently develop other necessary reports as required to support operational needs.
● Manage Slower Customer Advertisement and Promotional Activities
● Reporting Tools: Proficient in Atlassian Jira reporting using JQL; experienced in building automated dashboards and delivering recurring insights to both internal stakeholders and external customers.
Communication & Coordination:
● Serve as a key communication liaison for our internal resources regarding
timecards, compliance items, holidays, mandatory training, and HR-related items.
● Communicate weekly, monthly, and quarterly reporting directly to customers.
● Prepare and send invoice reports weekly to ensure timely and accurate billing.
JOB QUALIFICATIONS
● Have more than 5 years of experience in this position
● Proven Experience: Demonstrated experience in an administrative, operations, or client-facing support role, ideally within a fast-paced environment.
● Exceptional Organization: Highly organized with meticulous attention to detail and the ability to manage multiple tasks and deadlines simultaneously.
● Communication Prowess: Excellent verbal and written communication skills, with the ability to articulate complex information clearly and professionally to diverse audiences (customers and internal teams).
● Reporting Tools: Strong proficiency in developing reports, with practical experience using Atlassian Jira for reporting specifically.
● Problem-Solving & Judgment: Possesses strong common sense, the ability to think critically and on demand, and to escalate immediately when unsure of what to do. Proactive in identifying and resolving issues.
● Technical Aptitude: Comfortable learning and utilizing various internal systems and customer portals.
● Cultural Adaptability: Ability to adapt to and thrive in a global team environment.
