**Job search profile for: Spare Parts and Service Coordinator**

The position will directly report to Service Manager and responsible for the efficient sale of our spare parts from quotation through to invoicing plus the coordination of our Service Team. This position requires close cooperation with the Service Manager, the Spare parts Administrator in SEA and the production factories in Austria, China and Korea.

**Main responsibilities**:

- Works closely with the Spare Parts Administrators SEA, Service Manager as well as the Spare Part Administrators in the production factories.
- Provide spare parts sales support to our sales and service team in Vietnam.
- Process quotations, PO’s, orders, involving and payments for spare parts, service and communicates to internal and external customers.
- Coordinate the handling of claimed parts and the return of defective parts.
- Contact customers for sales opportunity of spare parts. Partly price negotiation with customers in Vietnam.
- Coordinate the import & export of all spare parts (new order, return, shipment for delivery)
- Follow up quotation from factories in Austria, Korea and China.
- Follow up PO’s from customers.
- Issue quotation, invoice, receipt and delivery note to customers. Work with agency to deliver goods to customers
- Follows up payment (pending payment) with customer
- Manage communication with customers in Vietnam.
- Preparation of shipping documents and arranging shipments of spare parts to regional Engel entities and external customers, shipping and forwarding agents.
- Prepare spare parts monthly & quaterly reporting. Analyze and forecast for spare parts for selling.
- Prepare and review sales contract with vendors, subsidiaries and customers
- Control minimum stock requirements, monitor stock balance and movement.
- Follow strictly on spare part procedures, including but not limited to using SAP, Innosoftto complete tasks
- Make appointments with customer for service jobs.
- Other tasks assigned by the Service Manager

**Preferred profile**:

- Strong technical background desired.
- Positive attitude and relationship
- Mature, proactive, reliable and able to work under pressure
- Good interpersonal and team working skills,
- Able to work independently, effectively in multi-cultural environment and handle multi-tasks,
- Experience of SAP system is an advantage but not essential.
- Can-do attitude.
- Detailed-orientation. Careful and well-management.

**Remuneration & others**:

- Attractive salary package
- Hours of work: From 8.30 a.m. to 5.30 p.m. (1-hour break) from Monday to Friday.
- 15-day annual leave.
