Roles & Responsibilities

Workplace Site Lead is responsible for overseeing and managing the day-to-day operations of client’s office facility, ensuring a safe, efficient, and productive work environment as assigned by Workplace SEA Lead from time to time, as and when required by the client or JLL Management.
This role will report into the Workplace SEA Lead and will involves collaborating with various teams, vendors, and stakeholders to maintain the highest standards of workplace excellence and ensuring smooth day-to-day operations of facility.

**Responsibilities**:

**- Role 1**: Facilities Management
- Manage all aspects of facility operations, including maintenance, repairs, janitorial services, and security to ensure a safe and well-maintained workspace.
- Ensure that the office is always in a clean and tidy state. Equipment is always in good condition and periodically maintained.

**- Role 2: Vendor Management**:

- Collaborate with vendors, contractors, and service providers to ensure the delivery of high-quality services, negotiate contracts, and monitor vendor performance.
- Meeting with vendor to ensure all concerns are clarified.

**- Role 3**: Budget Management
- Develop and manage the facilities budget, monitor expenses, and identify cost-saving opportunities while maintaining operational efficiency.

**- Role 4**: Environmental Sustainability
- Promote and implement sustainability initiatives, including energy efficiency, waste reduction, and environmentally responsible practices.

**- Role 5**: Team Leadership
- Lead team and support staff, providing direction, training, and performance evaluations.

**- Role 6**: Facility & asset Management
- Build up maintenance plan and ensure to carry out on time.
- Efficiently track and update FM asset inventories; assist in the storing, disposal, and/or retrieval of FM assets

**- Role 7**: Health and Safety & Risk Management
- Implement and enforce health and safety protocols, conduct daily site check.
- Ensuring contractors perform maintenance in accordance with Vietnamese law, safety regulations of JLL and client.
- Fully attending to training courses on safety regulations.
- Site risk register and review with global.
- Follow established escalation procedures and incident reporting procedures
- Build & deploy PPM-52 weeks planer, make sure maintenance on time.
- Ensure first aid kit are available at all time.

**- Role 8**: Finance management
- Closely follow up with admin on payment status for vendor, ensuring payment on time.
- Ensuring smoothly operation and no service interruption.

**- Role 9**: Business support
- Other task assign from Workplace SEA Lead and clients;
- CX activities - plan and compose announcement for country;
