RESPONSIBILITIES:

FINANCIAL MANAGEMENT &

ACCOUNTING:
(55%)

  • Provide relevant, timely and detailoriented financial processing and project accounting support to the Country Director and Vietnam team;
  • Oversees the accounts receivable and accounts payable systems and processes and ensures the appropriate action is accurate, timely and in compliance with current accounting standards, policies and contract terms;
  • Prepare and process the HSBCnet online payment as required;
  • Ensure proper support documentation is attached as appropriate for audit purposes;
  • Reconcile bank accounts, update the accounting system and make deposits as directed;
  • Reconcile accounting transactions matching expenditures and updating forecasts to monthly/annual budget projections and other financial management reports;
  • Create, update and analyze various spreadsheets produced to track expenditures over the year and provide to the management team and or Director, Corporate Finance as appropriate;
  • Prepare a variety of regular or ad hoc custom financial reports requested by the Country Director or by FII Headquarters and communicate this information to the Project Managers and appropriate staff as required;
  • Assist program managers in monitoring budgets and forecasts;
  • Review the monthly financial budget forecast report with the Country Director and make any budget allocation changes as required;
  • Analyze a variety of financial reports, forecast trends, identify anomalies, correct accounting errors and omissions and bring to the attention of the Country Director as well as the Director, Corporate Finance;
  • Process all accruals in accordance with FII's policies and procedures;
  • Track and monitor accounts payable ensuring timely and accurate payment of suppliers and employees expense accounts including TDS (Tax Deducted at Source) calculations and remittances in accordance with India regulatory requirements (including form 16A to vendors) and corporate policies and procedures and followup where appropriate;
  • Respond to inquiries concerning payments, overdue accounts, financial policy and procedures, from staff, contractors and others;
  • Support and assist colleagues during high volume periods on other administrative activities, office duties or special projects;
  • Review employee claims for expenses, ensuring all amounts are verified by receipts and claimed as per corporate policy. Scan the claims with receipts and follow final payment approval;
  • Review the Petty Cash Report and actual cash balance in reconciling the petty cash register to the cash balance and verify to the actual cash balance on hand;
  • Maintain a capital asset control sheet in accordance with FII asset capitalization policy and India specific accounting standards for assets and conduct periodic physical verification of assets;
  • Work in coordination with the Director, Corporate Finance to prepare all yearend accruals (including vacation) as part of the completion of yearend financials;
  • Other duties as assigned.

PAYROLL AND BENEFITS ADMINISTRATION:

  • Manage the payroll, produce information required for payroll bank transfers, administer employee benefits and prepare and file all necessary payroll TDS remittances for government taxes, along with ensuring any updates are communicated and understood by employees;
  • Obtain tax declaration and proof of investment from employees, file quarterly TDS returns as well as annual professional tax returns as required;
  • Coordinate and maintain employee health insurance premiums and benefit claims.
COMPLIANCE,

GOVERNANCE AND REMITTANCE:

  • Manage regulatory reporting as required under the Vietnamese government and tax authorities;
  • Manage all permits, registrations, licenses, filings and ensure they are prepared accordingly and on time;
  • Prepare all working papers and yearend documents required by the internal auditors and in association with FII's Director, Corporate Finance for the review of all audit engagements;
  • In consultation with FII's Director, Corporate Finance provide assistance and analysis to the internal and external auditors as appropriate;
  • Coordinate with FII Vietnam's audit firm to support the transfer pricing audit and annual income tax returns;
  • Prepare and submit projected income statement for advance quarterly tax calculation, service tax, GST and TDS payments and returns;
  • Provide advice on Law Board regulations to the Corporate Secretary, print, obtain signatures and file Quarterly Board meeting minutes;
  • Work with the Corporate Secretary and Director, Corporate Finance to ensure all rules and regulations are complied with and obtain Annual Compliance Certificates and ensure annual returns are filed by the due date;
  • Ensure fixed assets and any additions are adequately insured and premiums are paid on time;
  • Coordinate with FII Vietnam's legal firm to file Ministry of Corporate Affairs Annual Return;
